The Opportunity
We are seeking an experienced Civil Litigation Legal Assistant / Law Clerk to support a busy litigation practice handling complex matters.This practice involves a broad range of litigation matters requiring careful file management, court document preparation, discovery support, and coordination through motions, hearings, and trials. This is an excellent opportunity for someone who enjoys challenging litigation, thrives in a fast paced environment, and wants to play an integral role from file opening through trial.
Responsibilities
Litigation & Court Documents
- Draft, prepare, and finalize court documents, including pleadings, affidavits, motion materials, application records, factums, draft orders, bills of costs, and related litigation documents.
- Prepare and organize materials for discoveries, mediations, motions, hearings, trials, and appeals.
- Maintain court records, motion records, discovery materials, and litigation files.
- File materials electronically through Justice Services Online (JSO) and Case Center while ensuring compliance with court deadlines and practice directions.
- Coordinate service of court documents and prepare affidavits of service.
- Schedule discoveries, mediations, motions, trials, and other court appearances while maintaining limitation dates and litigation calendars.
Discovery & Trial Preparation
- Organize and manage documentary productions, including reviewing, indexing, and preparing affidavits of documents.
- Assist with examinations for discovery, including preparing briefs, documents, and undertakings.
- Track undertakings, refusals, disclosure requests, and follow up requirements.
- Prepare hearing and trial materials, including document briefs, exhibit books, witness materials, and authorities.
- Coordinate with experts, witnesses, court reporters, process servers, and other litigation service providers.
Client Service
- Serve as a primary point of contact for clients while maintaining professionalism, empathy, and discretion.
- Communicate with opposing counsel, court staff, experts, and other third parties.
- Prepare correspondence from instructions, dictation, and precedents.
Practice Management
- Conduct conflict checks and prepare retainer documentation.
- Open, maintain, and close files.
- Manage calendars, limitation dates, meetings, mediations, discoveries, hearings, and trials.
- Prepare draft accounts, monitor trust balances, and assist with billing.
Qualifications
- Minimum three years of experience as a Legal Assistant or Law Clerk, preferably within a litigation practice.
- Strong knowledge of Ontario court procedures, litigation terminology, and court documentation.
- Experience using Justice Services Online, Case Center, legal research tools, case management software, and Microsoft Office.
- Excellent organizational, drafting, and proofreading skills.
- Ability to manage multiple deadlines and large document productions.
- Professional judgment, discretion, and attention to detail.
- Ability to work independently while anticipating the needs of counsel.
